We collect and process your information in the following ways:
Information you provide to us
If you fill in the contact forms on our website, we will always ask for your consent when adding yourself to lists and you should know what you are signing up for – whether it’s email marketing or receiving content about you from us.
If you participate in a survey or start a questionnaire, we collect information solely for market research purposes.
The information provided is typically used to help clients better understand their market performance or improve a service or product. Data is presented to our clients in an aggregated and anonymized format unless you consent to share your data with attached contact information e.g., email address, phone number, etc. This would be given free of charge and would not be an obligation in the conduct of market research, unless the research required it for a specific legal reason, e.g. to pay you your reward after completing a paid survey, or to carry out face-to-face research, such as during the focus groups you freely sign up to, etc.
If you register for our digital services, the information you provide will be used to verify your identity when accessing our digital services, to personalize the services we provide to you and to assist you in your use of our digital services. We will process such personal data in accordance with this Privacy Policy in order to provide the digital services to our customers (and you) and to comply with the relevant contract between us and our customers (and you).
Information we collect automatically
If you access one of our connected platforms, we collect the IP addresses of users of our websites and we may also store your browser’s environment variables (these are freely available when you browse the web and contain information such as your operating system, the device you are on, browser version, etc.). This information is kept for security reasons to enable us to block fraudulent members of the public, but also to help improve your user experience when visiting our sites, for example by serving different web pages if you are on a mobile or tablet rather than a laptop.
Information we receive from third parties
Occasionally, our customers will ask us to contact individuals on their databases. This information may contain behavior that our customer may have collected about you, for example number of store visits, a loyalty band/level or an internal value relating to the segment you are in. At the end of a survey, we may add some of this information to the answers you have provided to help our customer better understand their customer and to help us analyze the data more effectively. Data is generally presented to our customer in an anonymized, aggregated format and, unless the reward for completing a survey requires it or you have chosen to do so, your research participation will never be shared.
There may also be cases where we have legally received your data from a sample supplier who has legally collected your information and has the right to sell it. In these cases, we will contact you as an unknown third party, but the basis for processing is the same as above, only we will receive much less information about you, for example just a name and e-mail address.
How do we use your personal information?
To provide a requested service or perform a contract with you, for example, when you have entered a competition with us and we process your personal data to deliver your prize.
Where we have your consent if you have registered with us for marketing or to receive market research or services.
Where we have a legitimate interest if we have legally received your data from a third party for market research purposes.
Where we have a legal obligation, we may also store or use personal information where we have a legal obligation to do so.
How long do we retain your personal information?
We retain your information for the following periods:
We have our own retention policy for all types of personal data used in Karah Survey. We will only retain data for as long as is reasonably necessary.
For example, we keep customer order information for 90 days after the end of a contract, unless a contract with our customer specifies that we must keep it longer.
With whom do we share your personal information?
We share your personal information with trusted third parties, where we store it to provide the services you or our customers have requested. While Karah strives to perform all functions internally, there are instances where this is simply not possible.
We share your personal information with third parties who perform functions on our behalf and who also provide services to us, such as professional advisors, IT consultants performing test and development work on our enterprise technology systems, research and mailing centers, and operations coordinators.
We share your personal information with our other Karah Group companies primarily for business and operational purposes. As we continue to develop our business, we may sell or buy assets. If another entity acquires us or merges with us, your personal information will be disclosed to that entity. In addition, if bankruptcy or reorganization proceedings are instituted by or against us, all such information will be considered one of our assets and, as such, may be sold or transferred to third parties.
Where applicable, we share your personal information with third parties to comply with a legal obligation; when we believe in good faith that an applicable law requires it; at the request of government authorities conducting an investigation; to verify or enforce our terms of use or other applicable policies; to detect and protect against fraud or any technical or security vulnerabilities; to respond to an emergency; or otherwise to protect the rights, property, safety or security of third parties, visitors to our website, our company or the public.
What happens if you do not provide us with the information we request or if you ask us to stop processing your information?
If you do not provide the necessary personal information or if you withdraw your consent for the processing of your personal information, where such information is necessary for us to provide services to you, we will not be able to provide those services to you.
Do we make automated decisions about you?
We do not make any automated decisions about customers, survey respondents or website users.
Do we use cookies to collect personal data?
The cookies used on our site serve only to improve your user experience by saving your preferences and analyzing site performance. No personally identifiable information is collected using cookies.
Do we transfer your personal data outside the CEMAC region?
All the data you provide to us is stored on our secure servers in the CEMAC region. However, as a company with storage partners outside the sub-regional economic area, your data may be transferred outside the CEMAC region. In a scenario where your processing takes place outside the CEMAC region, we will ensure that the transfer is legal and that appropriate security arrangements are put in place.
What are your rights?
By law, you have a number of rights in relation to your personal information. Further information and advice on your rights can be obtained from the data protection regulator in your country.
1. The right to object to processing. You have the right to object to certain types of processing, including processing for direct marketing (i.e. if you no longer wish to be contacted with potential opportunities).
2. The right to be informed. You have the right to receive clear, transparent and easily understandable information about how we use your information and your rights. This is why we provide you with the information contained in this policy.
3. Right of access. You have the right to access your information (if we process it) and certain other information (similar to that provided in this privacy policy).This is so that you are aware and can check that we are using your information in accordance with data protection law.
4. Right of rectification. You have the right to have your information corrected if it is inaccurate or incomplete.
5. The right to erasure. This is also known as the “right to be forgotten” and, simply put, allows you to request the erasure or deletion of your information when we have no compelling reason to continue using it. This is not a general right to erasure; there are exceptions.
6. The right to restrict processing. You have the right to “block” or delete any further use of your information. When processing is restricted, we can still store your information, but we cannot use it further. We keep lists of people who have requested that further use of their information be “blocked” to ensure that the restriction is respected in the future.
7. The right to data portability. you have the right to obtain and reuse your personal information for your own purposes in different services. For example, if you decide to switch to a new provider, this allows you to easily move, copy or transfer your information between our computer systems and theirs reliably and securely, without affecting their usability.
8. The right to complain. You have the right to file a complaint about the way we process your personal information with your national data protection regulator.
9. The right to withdraw consent. If you have given your consent to anything we do with your personal information, you have the right to withdraw your consent at any time (although if you do so, it does not mean that everything we have done with your personal information with your consent up to that point is unlawful). This includes your right to withdraw your consent to the use of your personal information for marketing purposes.
We generally respond to requests and provide information free of charge, but we may charge a reasonable fee to cover our administrative costs of providing information for: unfounded or excessive/repeated requests, or further copies of the same information.
Alternatively, we may be entitled to refuse to comply with the request. Please consider your request responsibly before submitting it. We will respond as soon as possible. Generally, this will be within a maximum of one month from receipt of your request, but if the request takes longer to process, we will contact you and let you know.
